Microsoft 365 is powerful, but here’s something a lot of business owners don’t realize: it isn’t fully locked down out of the box. The default settings prioritize ease of use, which means some important security features are left for you to turn on. Here are seven worth enabling today.
1. Multi-factor authentication (MFA)
If you do only one thing on this list, do this. MFA requires a second step — like a code on your phone — to log in, which stops attackers even if they steal a password. Turn it on for every user, no exceptions.
2. Disable legacy authentication
Older sign-in methods can bypass MFA entirely. Blocking legacy authentication closes that loophole. Most modern apps don’t need it, so turning it off rarely causes problems and dramatically improves security.
3. Safe Links and Safe Attachments
These features (part of Microsoft Defender for Office 365) scan links and attachments for threats before your team can interact with them — a strong defense against phishing and malicious files.
4. Turn on audit logging
If something ever goes wrong, audit logs tell you what happened and when. They’re invaluable for investigating a suspected breach — but only if they were switched on beforehand.
5. Tighten external sharing
By default, files can sometimes be shared more broadly than you’d like. Review your SharePoint and OneDrive sharing settings so sensitive documents don’t leave the building by accident.
6. Set up admin and sign-in alerts
Configure alerts for risky sign-ins and suspicious admin activity so you find out about a problem in minutes, not weeks.
7. Back up your Microsoft 365 data
This one surprises people: Microsoft doesn’t back up your data the way you might assume. If a file is deleted or an account is compromised, recovery can be limited. A dedicated 365 backup protects your email, files, and accounts.
